Purchasing Coordinator
Essential Duties and Responsibilities
-
Work with relevant departments to manage supply and inventory requirements.

Negotiate prices with vendors to obtain the best pricing, terms, and service.

Ensure that all purchase requisition forms and properly authorized and charged to the right Fund/Grant
-
Keep track of all goods and services ordered and received, and maintain accurate inventory records including details on price, performance, and delivery.

Manage and participate in the day-to-day Accounts Payable processes including, match vendor invoices to purchase orders and corresponding documentation.

Review each invoice for proper account coding and authorized approval and contact program managers if invoices appear to be miscoded or not properly authorized.

Input accounts payable information into AP module in accordance with the organization’s policy and procedures, prepares documentation for voucher review.

Participate in the check run by preparing a trial payment register and reviewing vouchers for selection. Print checks and match checks to invoices after approval of payment register.

Maintain vendor information and records ensuring adequate documentation is provided and is properly entered in compliance with organizational policies and procedures.

Coordinate with Senior Accountant for credit applications, new vendor approval and reconciliation of invoices to purchase orders.

Perform other duties as assigned.
Qualifications:

Prior related office experience preferred
-
At least two years of purchasing experience preferred

High school diploma or equivalent

Excellent organizational skills

High Attention to detail

Negotiation and bargaining skills

Written and verbal communication skills

Strong Office 365 skills
